Flebologiya.Journal of Venous Disorders. Instructions for authors
All authors submitting a manuscript to the Editorial Board must strictly adhere to the following instructions:
1. The manuscript should be accompanied by an official application letter from the organization where the work was actually done (download blank form - MS Word .doc). It may be indicated if the article is a thesis work.
In addition, copies of authorship and innovation proposal certificates or information release authorization are required if these documents are mentioned in the text of the article or expert report.
2. SUBMISSIONS are done online through http://www.cochrane.ru. Registration is required.
We inform you that the journal certifies reviews of its reviewers on the Publons.
You can download and read the instruction for using under the link - Instruction.
Media Sphera Publishing House is a partner of Publons: https://publons.com/community/our-partners/. Publons partners with the world's publishers and leading industry organizations to recognize the contributions of expert reviewers and editors.
To submit a manuscript, please, prepare the following:
3. The first page of the manuscript should include initials and surnames of the authors, their academic degrees and current positions, the title of the publication, and organization where the work was done. Official name of the institution and governmental agency with which the authors are affiliated should be indicated in the Russian and English languages. We recommend to check the correct spelling of the institution's name on the site https://grid.ac.
4. The manuscript must be signed by all authors. It is mandatory to indicate the surname, first name and patronymic of the corresponding author, his (her) mailing address (including the postal index), electronic address, and telephone numbers. In case the authors are affiliated with different organizations, the contact information (e-mail) about each institution should be provided. You must specify the ORCID for the author who submits the article, and preferably for each author of the article. If there is no ORCID number, you need to obtain it by registering at https://orcid.org/. Publication in the journal is free.
5. Articles containing the results of clinical trials of various designs (observational, comparative, non-comparative, prospective, retrospective), with the exception of descriptions of clinical cases, will be accepted if the trial protocol was registered in one of the designated online platforms available to the public.
WARNING. Registration of the protocol on publicly available online platforms will be a prerequisite for acceptance of articles describing prospective comparative and non-comparative studies from 2021 onwards, for the rest of the works from 2022 onwards. However, when submitting an article to the Editorial Board, it should be taken into account that articles with the results of registered trials will take precedence in their consideration.
It is recommended to use the relevant section of the "Chronic Vein Diseases Register" platform (https://www.venousregistry.org/index.php?f=1&id=80) to register trial protocols related to chronic vein diseases.
It is recommended to use the appropriate section of the "Venous thromboembolic complications register" platform (https://vte.venousregistry.org/index.php?f=1&id=30) to register the trial protocols related to venous thromboembolic complications
The research protocol can also be registered on the www.clinicaltrials.gov platform.
The identifier obtained during the registration of the study should be mentioned at the end of the section "Material and methods", as well as at the end of the summary.
Example: "The trial is registered in the "Chronic Venous Disease Registry," VRCVD1.006," or "The trial is registered on the ClinicalTrials.gov platform, identifier NCT03900234.
Conducting research with the help of the platform of Russian registers, i.e. accumulation of the database in the register, is not mandatory, but such research will also have priority in consideration and publication.
6. If a publication containing the results of clinical trials of prospective comparative and non-comparative design is sent for consideration, starting from 2021, it is obligatory to provide information on the approval of the trial by the local Ethics Committee. The information should be given in the section "Material and Methods" with the announcement of the Ethics Committee protocol number and date. It is not necessary to provide approval data to the local Ethics Committee before this date. However, when submitting an article to the Editorial Board, it should be taken into account that articles with research results approved by the Ethics Committee will take precedence in the review process.
7. The length of an original paper should not exceed 15 pages (1800 characters with spaces per page), it should have a maximum of 5-6 figures.
Original articles should include the following headings.
8. All manuscripts should be accompanied by an abstract not to exceed 200-250 words starting with the full names of the author(s) and the title of the article.
The structured abstract should have the following labeled sections: aim of the work, materials and methods, results, and conclusion.
The abstract should briefly outline the results of the study, describe its design, groups of the patients involved, and main numerical data.
Below the abstract, include a list of keywords in the Russian and English languages.
9. The author(s) should write in clear concise Russian without departing from the scope of the article. The responsibility for all aspects of the manuscript preparation (editing and proofreading) rests with the author(s).
10. Citations in the text must be carefully checked; the titles of their sources, the year of publication, the issue number, and the number of the first page should be listed in the footnote.
11. Avoid undefined abbreviations except for the generally accepted abbreviations of chemical and mathematical quantities and terms. SI units of measurement should be used throughout the manuscript.
12. Special terms should be translated into Russian; only those generally accepted in the scientific literature should be used. Avoid transliteration of foreign words into Russian. Chemical formulas and doses should be clarified by the author(s) in marginal notes.
13. Original clinical findings should be discussed and interpreted in terms of the international CEAP classification.
14. Tables should be self-explanatory, each having a short descriptive title matching the column heads. All tabular data expressed as numeric values and percentage should be thoroughly checked by the author(s) and match the respective quantities in the text. Indicate the place of each table in the text and its number.
Signatures and all text data must be sent in Russian and English!
15. FIGURES. Each figure should be attached as a separate TIFF, JPEG or PNG image. As to figures that were created or processed using Microsoft Office tools (WORD or POWER POINT), they should be attached as separate files with corresponding extensions (.doc, .docx, .ppt). File names should be given according to figure numbers in the text (e.g., Fig-1, Fig-2a, Fig-2, etc.). Our online submission and editorial system requires that all your images were downloaded as a single .zip or .rar archive.
16. Captions for figures and photos should be grouped together at the end of the article. General descriptions and the key to abbreviations should be provided. Graph legends should explain the designation of axes and units of measurements. Micrograph captions should indicate the staining method and magnification. We insist that you send only high-quality images. Please, make sure of high image resolution and large enough letters typed in the images (remember that they should be easy to read when printed).

17. The reference list should be typewritten and double-spaced on a separate sheet, with each title beginning a new line and numbered consecutively throughout the article using numbers in the order in which they appear in the text; do not alphabetize the names of the authors. References to books should contain the surnames and initials of the authors, the year, the full title of the book, the city and the publisher (in parenthesis), and the number of pages. For articles in journals and volumes of collected volumes, indicate the surnames and initials of the authors of the cited paper, its full title, the title of the journal or the volume, the year, the issue number, and pages (from … to …). The names of all authors of the article should be indicated to enable their inclusion into the SCOPUS database.

Responsibilities of the Editorial Board
The Editorial Board of the journal complies with the ethical standards approved by the international scientific community. The Editorial Board uses the Recommendations for the Conduct, Reporting, Editing and Publication of Scholarly Work in Medical Journals of the International Committee of Medical Journal Editors and recommendations of the Committee on Publication Ethics (COPE).
Editorial decision-making
The Editorial Board is responsible for making decisions which of the submitted manuscripts will be accepted for publication. The Editorial Board makes the decision regarding a publication based on the journal’s policy, taking into account the current authors’ rights legislation and avoiding defamation and plagiarism. The editorial evaluation of the manuscript is independent of race, ethnicity and gender, religion, citizenship, or political views of the authors. Decision whether to publish an article or not is based exclusively on its scientific relevance, originality, clarity of presentation, and correspondence of the topic to journal’s specialization.
Confidentiality
All the Editorial Board members are responsible for disclosing any information about the submitted manuscript to individuals other than authors, peer reviewers, potential peer reviewers, or publishers.
Conflict of interest
The unpublished materials disclosed in the submitted manuscript cannot be used by the Editorial Board members for their own research without written permission from the authors.
Plagiarism, data falsification, and error correction
In case of an ethical complaint or a conflict situation regarding the manuscript or the published article, the Editorial Board should undertake reasonable countermeasures, together with the publisher, to restore the violated rights. If errors are revealed, the Editorial Board should assist in publishing corrections or refutations. Each reported case of unethical behavior will be considered, even if submitted several years after the article had been published.
The editorial board is guided by the following policy regarding the etraction of publications ((download PDF).
Reviewer responsibilities
Contribution to editorial decision-making
The review process is aimed at facilitating the Editorial Board in editorial decision-making and may also help the author to improve the manuscript.
Timeliness (promptness)
If a reviewer selected by the Editorial Board does not feel competent for reviewing the manuscript or feels that it is not possible to meet the deadline of the review, he/she should promptly notify the Editorial Board and decline to perform the review.
Confidentiality
Any material under review should be regarded as confidential. The material should not be shared or discussed with anyone outside the review process unless approved by the editor.
Objectivity standards
Reviewing should be objective. Subjective critique of the author is not allowed. Reviewer’s opinion should be stated clearly and supported by arguments.
Confirmation of the resources
The reviewer is responsible for determining the cases when the relevant publications have not been cited in the manuscript or listed in the References section. Furthermore, the reviewer should determine whether all the statements, conclusions, and ideas borrowed from other publications had the corresponding references. If the reviewer detects that the manuscript under review significantly coincides with or is similar to another known publication, he/she should notify the Editorial Board.
Disclosure of information and conflict of interest
Non-disclosable information and ideas must be regarded as confidential and cannot be used for one’s personal advantage. Experts should not review manuscripts if they have any possible conflict of interest due to competitive, collaborative, or other relationships with the manuscript authors, as well as companies or institutions related to the manuscript.
Author responsibilities
Credibility and study standards
If the manuscript is based on an original study, the authors must submit the reliable results of their work and an objective discussion of significance of the study. The manuscript should contain all the key data, accurate description of the study details and references in order to ensure reproducibility of the results. Data falsification or the intentionally invalid statements in the manuscript are regarded as unethical and are inappropriate.
Data availability
The Editorial Board can request the authors to submit raw data in addition to the manuscript. The author must be ready to provide public access to these data, provided that public access to the data violates neither confidentiality of the research participants nor rights of an individual or a company owning these data.
Originality, plagiarism, and citing the sources
Authors must submit only original studies. Authors must properly and accurately acknowledge the work of others. Publications that had significantly contributed to preparing the study or underlied its design should also be acknowledged.
Multiple, duplicate, or competing publications
In general, materials describing the contents of the same study should not be published in more than one journal. Submitting the manuscript to more than one journal is considered unethical and inappropriate. Copyrighted materials that have already been published cannot be submitted to the journal. Furthermore, materials under consideration by the Editorial Board must not be submitted to be published elsewhere. When submitting an article, the author must inform the editor about all the previous presentations of the study that can be regarded as a duplicate publication. The author must notify the editor if the manuscript contains the information published by the author in previous reports or submitted for publication elsewhere. In this case, the new article should contain references to the previously published material.
Authorship criteria
Authorship is limited to the individuals that have made a significant contribution to 1) conception and design of the study; data acquisition and interpretation; 2) preparing the first draft of the article or editing the article to improve its quality; and 3) final approval of the manuscript for publication. Each author must participate in the study to an extent sufficient to take public responsibility for the corresponding part of the content of his/her article. Involvement consisting in funding or selecting material for the article is not sufficient reason for inclusion in the list of authors. General guidance of the research group is not sufficient for including in the list of authors.
All the authors must approve the final manuscript and its submission to the journal for publication.
Conflict of interest
When submitting an article to the journal, all authors must sign the form disclosing financial or any other substantive conflict of interest that can be considered to have influenced the study results or their interpretation. All funding sources of the submitted studies must be specified.
Involvement in the peer review process
After the peer review process, the article can be sent to the author for improvement. Authors should be actively involved in the review process: promptly answer the questions and, if necessary, correct the manuscript in accordance with the reviewer’s comments.
Procedure for peer reviewing the manuscripts submitted for publication in the journal
All the manuscripts submitted for publication in the journal are peer reviewed by two independent experts who are non-members of the Editorial Board of the journal.
The journal provides peer reviewing of all the submitted materials that are within the remit of the journal for expert evaluation. All peer reviewers are the acknowledged experts who specialize in the field relevant to the reviewed materials and have had publications relevant to the topic of the article being reviewed over the past 3 years. The peer reviews are stored in the publishing and editorial office for 5 years.
The article is sent to reviewers without names or contact information of the authors (the so-called blind review).
Reviewers treat the article as confidential material and strictly follow the author’s right for non-disclosure of the data reported in the manuscript before the article is published. The reviewer may engage additional experts only with permission from the Editorial Board and on a confidential basis.
Reviewers’ comments are sent to the author without disclosing the reviewers’ identity. The Editorial Board makes a final decision whether to publish the manuscript or not after the peer reviews and authors’ answers were received. The Editorial Board sends copies of peer reviews or a substantiated rejection to the authors and also sends copies of the peer reviews to the Ministry of Education and Science of the Russian Federation if a request has been received by the Editorial Board.
In some cases, the Editorial Board can send the article for an additional peer review, including statistical and methodological reviewing.
The Editorial Board constantly monitors the quality of peer review using the Russian version of the Review Quality Instrument questionnaire (Version 3.2), van Rooyen S., Black N., Godlee F. J Clin Epidemiol 1999;52:625-9.
The Russian version of the Review Quality Instrument questionnaire is available here (download - MS Word .doc).
